Privacy Policy

Advanced Eye Prosthetics, LLC

Effective: 10/30/2026

1. Our Commitment to Privacy

Advanced Eye Prosthetics, LLC (“AEP,” “we,” “us,” or “our”) respects your privacy and is committed to protecting your personal information.

This policy explains how we collect, use, and share information through our website, including contact forms, appointment requests, and access to electronic patient intake and portal services.

Patient health information is also protected under the Health Insurance Portability and Accountability Act (HIPAA). For details about how we use and disclose protected health information (PHI), please review our HIPAA Notice of Privacy Practices.

2. Information We Collect

Depending on how you interact with our website and services, we may collect:

  • Contact Information: Name, telephone number, email address, appointment preferences, and information you voluntarily provide.
  • Patient Information: Medical, insurance, and billing information submitted through our designated patient intake system or patient portal.
  • Website Information: IP address, browser type, pages visited, and other technical information that our website platform or authorized providers may collect to support website functionality and security.
  • Survey Information: Responses and feedback voluntarily provided through patient satisfaction surveys.

3. How We Use Your Information

We may use information to:

  • Respond to inquiries and schedule appointments.
  • Provide patient care and related administrative services.
  • Manage patient records, insurance claims, and billing.
  • Communicate appointment reminders and other patient-related information.
  • Conduct patient satisfaction surveys and improve our services.
  • Provide information about our practice, services, and other permitted marketing communications.
  • Maintain website functionality and security.
  • Comply with applicable laws and regulations.

We conduct patient satisfaction surveys to evaluate and improve our services. Participation is voluntary. Marketing communications are subject to applicable privacy and consent requirements. We obtain authorization when required by HIPAA and other applicable laws. Patients may opt out of optional marketing communications by following the instructions provided or contacting our office.

Submitting an appointment request does not guarantee an appointment. Our office will contact you to confirm scheduling.

Please avoid submitting sensitive medical or financial information through general website contact forms. Our staff may direct you to an appropriate patient intake system or other communication method.

4. Third-Party Service Providers and Information Sharing

We use authorized service providers to support our operations, including:

  • Remedly: Electronic health records, patient intake, patient portal communications, internal practice messaging, insurance billing, and patient billing.
  • Weave: Telephone, fax, and text messaging services.
  • GoDaddy: Website hosting and related services.

We may also share information with healthcare providers, insurance companies, and other parties as permitted or required by law. When service providers handle PHI on our behalf, we require appropriate privacy and security protections, including HIPAA Business Associate Agreements when required.

We do not sell PHI or authorize service providers to use it for their independent marketing purposes.

Our website may contain links to independent third-party websites with their own privacy practices.

5. Text Messaging and Electronic Communications

AEP uses Weave to communicate with patients by telephone, fax, and text message.

Patients may choose to receive optional text messages by selecting the text messaging consent checkbox in their electronic patient intake documents through Remedly.

Our website does not currently provide a separate text messaging enrollment form. Providing a telephone number through a website contact or appointment request form does not automatically enroll someone in optional text messaging.

Messages may include appointment reminders, scheduling information, administrative updates, and responses to patient inquiries. Message frequency varies. Message and data rates may apply.

Patients may opt out of optional text messages by replying STOP or contacting our office at 833-208-9009. For assistance, reply HELP or call our office.

Standard text messaging and email are not fully secure. We encourage patients not to send sensitive medical or financial information through these methods.

Mobile telephone numbers and text messaging consent information are not sold or shared with third parties or affiliates for their independent marketing or promotional purposes. Information may be shared with authorized service providers as necessary to deliver and manage communications.

For more information, please review our Text Messaging Consent Information and Terms of Service.

6. Cookies and Website Technologies

Our website may use cookies and similar technologies to support functionality, security, and website performance.

You may be able to manage cookies through your browser settings.

We do not knowingly authorize website tracking technologies to collect or disclose PHI in violation of HIPAA.

7. Medical Photographs and Images

AEP may obtain clinical photographs or images for patient care, prosthetic design, and documentation. We obtain appropriate written authorization before using identifiable patient photographs for public promotional purposes, including website content, social media, and advertising. Clinical photographs maintained as part of patient care are subject to applicable HIPAA protections.

8. Information Security and Retention

We use administrative, physical, and technical safeguards appropriate to the information we maintain and applicable legal requirements.

Although we take reasonable precautions, no electronic system can be guaranteed completely secure.

We retain information as necessary to provide services, maintain appropriate records, and meet applicable legal obligations.

9. Your Privacy Rights

Patients have rights concerning their protected health information under HIPAA, including rights relating to access, amendments, confidential communications, and certain disclosures.

For details about these rights or how to file a privacy complaint, please review our HIPAA Notice of Privacy Practices.

We will not retaliate against individuals for exercising their legal privacy rights or filing a good-faith privacy complaint.

10. Children's Privacy and Website Accessibility

AEP provides services to patients of all ages, including children. Information concerning minor patients is handled according to HIPAA and applicable law.

We strive to make our website accessible to individuals with disabilities. If you need assistance accessing information or using a website feature, please contact our office.
